We are currently looking for an executive administrator to be the supportive force that empowers our CMO. The ideal person for the job will be a proactive problem solver with exceptional communication skills and meticulous attention to detail.

Requirements

The Role of our Champion:

General administrative:

  • Handle complex calendar scheduling across time zones with Clickatell and external requests
  • Track exec’s budgets, expense reports and reimbursements
  • Organize and arrange travel, hotels, transportation, dining for international and domestic locations.
  • Plan, prepare and organize external and internal meetings and the required presentations as required.
  • Plan events for teams, business and operational needs, including arranging venues, and catering requests and IT needs

Day to day operations:

  • Work closely with the exec’s team to keep track of deadlines, action items, and follow throughs
  • Escort people for meetings, providing lunches, printing documents, and other details to make the day run smoothly
  • Organize complex and continuously varying daily events and priorities

Communication:

  • Handling communications on behalf of the Executive
  • Serve as liaison between the Executive/marketing and other departments within the company
  • Act as the point of contact between the executive and internal/external clients

Event Management:

  • Help with Industry event planning activities for trade shows in the US and Europe
  • Monitor and control costs relating to event expenditures

  • Partner well with others. Develop & preserve positive relationships across time zones and locations and while juggling multiple/complex demands

  • Available on the phone, chat, in the office and off hours, as needed

Our Champion's Journey so far:

  • Bachelor’s Degree or equivalent work experience
  • 2+ years of administrative experience ideally working within software companies (requires experience supporting Executives)
  • Experience with planning and executing extensive international and domestic travel arrangements
  • Skilled with Microsoft Office and other cloud collaboration products and services
  • Proficient with basic accounting and financial skills to manage expense reports, cost centers, budgets and reimbursements.
